This is the privacy policy for the Ameon Group public website at ameon.co.za. It explains how this site handles personal information, and it is the policy that applies when you use these pages. It is written in plain language, with the Protection of Personal Information Act 4 of 2013 (POPIA) in mind. It is not legal advice. If your matter is specialised, or you need advice about your own rights or duties, you should speak to a lawyer.

Who the responsible party is

Ameon Group operates the public website at ameon.co.za. For the personal information described in this policy, Ameon Group is the responsible party under POPIA. In this policy, “Ameon”, “we”, and “us” mean Ameon Group.

Privacy requests and questions about this policy can be sent to info@ameon.co.za. We have not published a company registration number, a physical address, a telephone number, or the name of an information officer on this website. Mail sent to that address is the contact route we provide for this site, and we will direct privacy requests to the person responsible for them.

What this policy covers

This policy covers the public pages of ameon.co.za: the home, about, contact, privacy, and terms pages, and the technical delivery of those pages. It covers enquiries you send from the contact form or by email to info@ameon.co.za about this website or the company.

It does not cover product accounts, sign-in areas, or other applications that Ameon Group may operate, including any product reached separately on this domain. Those services, where they exist, are outside this policy. If they collect personal information, they will have their own notices.

What personal information we may collect

This is an informational website. We do not ask you to create an account on these pages. Personal information comes from what you choose to send us, and from limited technical data involved in delivering the site.

Contact form and email. If you use the contact form, or if you email us, we receive the details you include. The form asks for:

• your name;
• your email address; and
• the content of your message.

Please do not include sensitive information, such as an identity number, bank details, or health information. We do not ask for it, and we do not need it to read a general enquiry.

When you submit the form, your browser sends those fields to FormSubmit (formsubmit.co). FormSubmit relays the message by email to info@ameon.co.za. FormSubmit is a mail relay for this form. It is not part of Ameon Group. You can also email info@ameon.co.za directly from your own mail programme. That message does not pass through the form.

Technical and log data. Like most websites, the systems that deliver these pages may process limited technical information so the site can be served and protected. That can include your IP address, the date and time of a request, the page requested, and basic browser or device details in server logs. We do not use those logs as a contact list, and we do not combine them with contact-form messages to build a profile of you.

Why we process it

We use personal information from this website only for these purposes:

• to receive your enquiry and reply to it, if we reply;
• to keep a record of that correspondence for as long as we need it;
• to operate the public website; and
• to secure the website, investigate misuse, and keep the service available.

We do not sell personal information. We do not use this website to send marketing mailings, and we do not ask you to join a mailing list.

Lawful basis under POPIA

POPIA requires a justification before personal information is processed. For this website, we rely on the following.

• Consent. When you submit the contact form, or when you email us, you choose to send the information so that we can read it and respond. That is consent under section 11(1)(a) of POPIA. You may withdraw consent as described under “Your rights”. Withdrawal does not undo processing that has already taken place lawfully.
• Legitimate interests. We have a legitimate interest in reading and answering messages that people send to the company, in keeping a reasonable record of those messages, and in operating and securing the website, including through technical logs. That is the justification in section 11(1)(f) of POPIA. We do not use that interest to do something unrelated to the enquiry or to the running of this site.

Who else may process it

We keep access limited. The people who may handle this information are:

• Ameon Group, as the responsible party, and the people who handle enquiries for the company and need to see the message in order to respond;
• FormSubmit, as an operator that receives the contact-form submission and emails it to info@ameon.co.za;
• the provider that hosts this website, to the extent it processes technical logs in order to deliver and protect the site; and
• the provider that hosts the info@ameon.co.za mailbox, to the extent it processes the email in order to deliver and store it.

We have not named the website host or the email host on this page, because those details are not published here. We do not authorise those providers to use your enquiry for their own marketing. We do not share contact-form messages with advertisers or with other companies so that they can market to you.

We may disclose information if the law requires it, or if it is needed to protect the rights, safety, or security of Ameon Group, our users, or someone else. We do not treat that as a general sharing practice.

Cross-border transfers

Ameon Group is a South African company, and this policy is written for the public site at ameon.co.za. Some processing may still happen outside South Africa.

The contact form is relayed by FormSubmit, an online service at formsubmit.co. Submitting the form sends the message off this website so that it can be emailed to us. That relay may process the message on servers outside South Africa before the email arrives at info@ameon.co.za. The website host and the email host may also be located outside South Africa. If they are, technical logs or mailbox contents may be processed outside the country.

Where personal information leaves South Africa, POPIA requires an appropriate justification, such as adequate protection, your consent, or a contract that applies protections comparable to POPIA. By submitting the form, you consent to the transfer that is needed to deliver that message to our inbox. We do not publish a separate list of countries or hosting vendors on this page, because those arrangements are not stated here.

How long we keep it

We keep enquiry correspondence only for as long as we need it to handle the enquiry and to keep a reasonable record of it. As a guide, we do not intend to keep an ordinary enquiry for more than 24 months after our last message about that enquiry, unless the matter is still open or the law requires a longer period. After that, we delete it or reduce it so that it no longer identifies you, unless we must keep it.

Technical logs are kept only for as long as they are needed to operate and secure the site. They are not kept as a list of contacts. Retention of logs depends on the host’s ordinary log rotation, which is not published on this page.

FormSubmit may keep a copy of a submission for its own operational purposes, under its own rules, for as long as it needs to relay the message and protect its service. We do not control that service’s internal retention.

Security

We take reasonable and appropriate measures to protect personal information on this website, as POPIA requires. The public site is served over HTTPS. Access to the enquiry inbox is limited to people who need it to handle messages for Ameon Group. We do not ask the contact form to store a copy of your message in your browser for us.

No method of sending information over the internet, and no email inbox, is perfectly secure. We cannot promise that a message will never be intercepted, lost, or read by someone it was not meant for. Please avoid sending sensitive information through the form or by email.

Your rights under POPIA

If we process personal information about you, POPIA gives you rights as a data subject. Depending on the circumstances, you may:

• ask whether we hold personal information about you, and ask for access to it, or for a description of it (access);
• ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading, or obtained unlawfully (correction or deletion);
• object to processing that we justify on legitimate interests, on reasonable grounds that relate to your situation, unless the law requires us to continue;
• withdraw consent you gave by contacting us, understanding that we may still keep what the law requires us to keep, and that withdrawal does not affect earlier lawful processing; and
• lodge a complaint with the Information Regulator of South Africa if you believe your personal information has been handled in breach of POPIA.

To exercise these rights with us, email info@ameon.co.za. Please say what you are asking for, and give us enough detail to find the message or record. We may ask you to confirm that you are the person concerned before we act. We will respond within a reasonable time. We do not charge a fee for an ordinary request.

You may also complain to the Information Regulator. A complaint about personal information is made in the Regulator’s prescribed form (Form 5), which is available from the Regulator. Useful public contacts are:

Those details are the Regulator’s published contacts. They can change. The Regulator’s website is the authoritative source.

Cookies and analytics

This public website does not set cookies, and it does not use analytics, advertising, or social-media tracking. We do not embed third-party analytics scripts, and we do not build marketing profiles from visits to these pages. Fonts used on the site are served from ameon.co.za, not from a third-party font service.

Submitting the contact form takes your browser to FormSubmit so the message can be emailed to us, and then brings you back to this site. That submission is not a cookie set by ameon.co.za. FormSubmit operates its own website and may process the submission under its own practices. Your browser may also keep ordinary local data of its own, such as history. That is outside this policy.

Children

This is a general corporate website. It is not directed at children, and it does not knowingly ask children to provide personal information. If you believe a child has sent us personal information through the form, email info@ameon.co.za and we will delete it if we can identify it.

Updates to this policy

We may update this policy when the website changes, or when the way we handle enquiries changes. When we do, we will change the effective date at the top of this page. The version published here is the one that applies to your visit. An update applies to later visits and to messages sent after it is published. It does not change the explanation of how we handled a message you sent under an earlier version, except where the law requires otherwise.
